Have you consider that is email the best communication tool in a Corporate environment?


Many arguments started from emails. There is no vocal, no facial and no visual, thus the recipient will receives different message signals.

You not pick up the phone and do a call; face-to-face meeting to resolve the problem or whatever issues that may arises. Is it because of status that a phone call cannot be made?

Many a times, people are using emails as a form of document proof to nail one’s down for commitment. With my limited knowledge, in legal, it is harder to file for a law suit if there is insufficient or proper documentation to support your argument. Thus many people will use email to transmit message.

Communication in email or texting may not be as clear as providing an example.

Sender may be able to write a very lay-man simple message. However, there are still some recipients may not be able to understand the way you want the message to be transmitted or relay. Not to mention about the language proficiency. It is good to improve or enhance the message by giving examples (pictures, previews, FAQ, anecdotes, scenarios etc). By showing a typical example will also set the ground rules that this is what the sender is expecting the recipient to react, responds.

Communication is the exchange of ideas, thoughts and feelings between two or more entities. If sender is aggressively transmitting a particular message, wonder has the sender ensure that the recipient really receives the message?

In all communications, never assume that your recipient will understand all the things that you say. 80% of message will kept in the brain after receiving it. After a few days, the message would have already reduced to less than 50% if not practiced what been received. Thus, do have a feedback from the recipient.

Firstly to check has the message been transmit to the other party. You may want to seek the recipient to explain one more time so that he understands and receives the correct message. Ask the recipient to provide a sample response or feedback.

Lessons Learned: Never think that your message is clear. How clear is your message clarity? Only recipient will knows.

With the easy accessible to a Smartphone that has camera features. Many people are just taking photographs easily and conveniently. Thus you will see many people upload their pictures into social media like facebook, flicker etc. Camera sales are not that sellable anymore.

Pictures are amazing. They are able to capture that very moments that you like. Send it for print and the memory can last forever. The pictures will also serve as a break time topics for friends to laugh about.

In the past, Smartphone were not the hype thing. Car owners that involved in accidents were having headache to prove their innocence so as to claim car insurance. They did not have any picture to provide evidence. Thus it was a real headache. Unlike today, many car accidents scenes are easily taken by a phone that comes with camera feature.

In order to prove the completed task for management reporting, now you can also capture the finished product or activity in a camera. Take out the Smartphone such as iPhone, Blackberry and you can capture the sample or product. Any angle you like and asked for.

Lessons Learn: Capture the best moment and let it sink to your memory and hopefully you can talk about it sometime later with your loved ones or friends.

Business Communication Barrier


What do you think is the communication barrier in an office environment?

Electronic mail may not be the ideal communication tool. It is just a fast convenient way to transmit your message across to another person when your recipient is outside your reach. There is no true communication in the aspect of expression, tonality and body language. There are still some messages not been sent across to recipients like your happiness and anger.

It is very easy to misunderstand what is said, even if emoticons (smiley) are used.

When you feel that a person is not telling the truth, check out the alignment between words, voice and body.

You need certain information that on your body to transmit the message across to the recipient. If the highly detailed information is not expressed thru actions, the messages might not be sent across correctly. A lot of communication actually comes through non-verbal communication.

Mehrabain Theory

In a typical mail message, you are not able to communicate your emotions. You can only use words to express your joys, frustrations. According to Mehrabain Theory,

* 7% happens in spoken words.
* 38% happens through voice tone.
* 55% happens via general body language.

The implication is that in all communications:

* It’s not just words: a lot of communication comes through non-verbal communication.
* Without seeing and hearing non-verbal, it is easier to misunderstand the message. In an email, how can you tell that a person is actually telling a joke versus writing a joke?
* When we are unsure about words and when we trust the other person less, we pay more attention to what we hear and see.

In my opinion, the ideal communication would be a face to face communication. With this, you are able to sense the other communication mode, such as visual, auditory portion from the sender. In a business environment, you can actually pick up the phone and communicate with the person directly. You are then able to grasp the message.

If the sender is angry, he will raise his voice with his hands on the hips. If sender is sad, he will lower his pitch and can see that his tears rolling down the cheek etc. This kind of non verbal communication is sometime critical in a message.
